Enable Barcoding

Introduction

In many sites, users want to track specimens based on pre-printed barcoded apart from human-readable labels. During the collection of specimens, you should be able to scan barcodes and search the specimens using this. 

To display the 'Barcode' field, enable the barcoding in settings. 

Enable Barcoding

From v11 onwards, you can only enable barcodes at the CP level.

  1. Navigate to the CP settings tab and select 'Label Format and Print.' 

  2. Click 'Edit' and then on 'Show advanced settings.'

  3. Under 'Miscellaneous settings', select 'Enabled' for 'Specimen Barcoding.'

  4. Barcodes can be enabled only in protocols where specimen labels are auto-generated.

(Before v11) Enable barcoding at the system level

This setting has been deprecated from v11 onwards, you need to enable CP-level settings to use the barcode field

Barcoding can be enabled at the system level or for individual collection protocols. Below is the barcoding preference for system-level vs CP level.

  • CP level setting overrides the system

  • If both CP and system settings are enabled, the CP setting is preferred.

  • If the system-level setting is present, and CP is absent, the System-level setting is considered.

Steps to enable barcoding at system level

  1. Log in as Super Administrator.

  2. Navigate to ‘Settings’, search for the property 'Specimen Barcoding' OR click 'Biospecimen → Specimen Barcoding.'

  3. Click on the property, select 'Enabled' of the 'New Value' field, and click 'Update.'

Barcode Scanning

The barcodes can be used during collection, distribution, or searching for specimens.

Collecting planned specimens

The ‘Barcode’ field is visible in the 'Collect Specimens’ workflow task. Users can add barcodes for the specimens in the barcode field

For the aliquots, you need to expand the aliquot rows and then add the barcodes as shown in the screenshot below. The aliquots will be collected regardless of whether they have an assigned barcode.

Other specimen pages: All pages that accept specimen labels will accept barcodes. For example, collect unplanned specimens, aliquots, derivatives, etc.

 

Distribution and shipment

You can choose to scan a barcode or label using a check-box.

Container map

You can configure the freezer to display the barcode within the container map. 

Bulk Import templates

The barcode field is available in the below bulk import templates:

  • Specimen

  • Master Specimen

  • Specimen Derivatives

  • Events

  • Custom forms at the specimen level

Query by barcode

You can search specimens by barcode using the below approaches:

  • Quick search

  • Create Query: Apply filters on the 'Barcode' field under the 'Specimen' form.
