Find Spaces

Introduction

“Find Space” is a new feature introduced in v10.3 which enables you to quickly find the right freezer to store one or more boxes. For example, if you receive 40 2-inch boxes for collection protocol ‘LCPRP’ and want to see which freezer or rack has ten consecutive free slots.

Pre-requisite: This feature will work only if container types are configured properly. Refer to Container types - Can hold for more details.

Step 1: Define Criteria

From Container list view → Actions → Find Spaces

You can provide criteria for the kind of boxes you will store, based on which the system will look for empty slots.

Type (Mandatory)

Type of box which you need to store, E.g., 2 inch boxes, 9x9 boxes, etc.

Freezer

If you need to store boxes within a specific freezer

Collection Protocol

This should be specified only if you have configured CP restrictions on the container.

Required Places

Number of boxes to store, e.g., 20 boxes.

All in same container

Check if you want to store all the boxes in the same container

Strict Match

This checkbox drives whether freezers with no restrictions should be included in the results or not. If checked, it will include only those parent containers where CP restrictions match.

Step 2: View Results and Select Container

Based on the criteria, OpenSpecimen will display the matching freezers.

In this example, ‘All in same container’ and ‘Strict Match’ is selected, thus,

  1. It has ignored all the parent containers where available slots are < 40

  2. Displays only freezers reserved for “LCPRP” CP

Click on the “Select” button to proceed to the next step.

Step 3: Transfer Boxes

Enter box names or barcodes in the provided box and click on “Add.”

Enter “Reasons” (mandatory) and Submit

If any of the boxes do not exist in OpenSpecimen, you can proceed to create them.

Specify details → Submit.

Boxes will be created in the first available slot with the specified restrictions.
