Introduction

OpenSpecimen allows you to track the complete specimen lifecycle through the use of events. Every event captures Date & Time and User fields to record precisely when the action occurred and who performed it. These events are displayed on the specimen page in reverse chronological order to provide a clear timeline.

There are three types of events:

1. System Events: Core, uneditable system actions (such as Dispose, Transfer, and Close) that track fundamental changes to a specimen's status.

2. Default Events: Pre-configured, out-of-the-box events (such as Spun or Frozen) used to document standard processing steps.

3. Custom Events: User-defined events created to track specific specimen activities and local workflows unique to an institution's needs.

System Events

Certain core actions—such as Dispose, Transfer, and Close—are classified as system events. The fields of these events are hardcoded to maintain core functionality and cannot be edited.

These events are:

• Received

• Collection

• Transfer

• Reserved

• Disposal

• Container Transfer

• Return

• Distribution

• Processing

• Shipment

Default Events

In addition to the automatically generated system events, OpenSpecimen is shipped with some additional specimen events:

• Frozen Event

• Thaw Event

• Spun Event

• Review Event

• Procedure Event

These events can be edited to suit your specific requirements using the “Forms” module.

Custom Events

To accommodate unique local workflows and protocols, users can create and add their own custom events to track specific specimen activities. When designing these custom events, it is mandatory to include the Date and User fields to maintain data integrity and consistency across the platform.
