Create visits

Create Visit 

You can create a visit as soon as the participant is registered or at a later stage post-registration.

From Registration Page

  1. Click on the ‘+Add Participant’ button.

  2. The registration page has an option to navigate to the visit creation

  3. When you click on the 'Proceed to Collection' button, a list of all events set up in the CP will be displayed. If only one event is configured, the user will be directly taken to the workflow.

  4. You can choose from the list and then you will be navigated to the system workflow ‘Collect Visits and Specimens’

From Participant Overview Page

  1. On the participant overview page, click on the 'Collect' button

  2. This will navigate you to the system workflow ‘Collect Visits and Specimens’

  1. Enter all valid details and click on the 'Submit' button.

  2. This will create a visit with the details added.

  3. You can also collect the specimens set up as requirements in the next step.

Create Unplanned Visit

You can add an unplanned visit for a participant.

  1. To add a new visit to the existing one, click on the dotted menu of the occurred visit and select option 'New Visit'. 

  2. The system will navigate the user to the ‘Collect Visits and Specimens’ workflow.

Create missed visit

You can mark any visit as missed if it is missed for any reason.

  1. On the participant overview page, click on the 'Collect' button

  2. Change the status to ‘Missed Collection’. The missed reason dropdown field will be shown only on selecting missed collection as the visit status.

  1. Once you submit, the visit and specimens will be marked as missed

  1. On the participant overview page, the missed visit will be shown in a separate section with the reason

 

  1. The next tasks for collecting specimens will be skipped automatically

Configure Visit Table Fields

The default fields displayed in the occurred visit's table on the participant overview page are 'Event Label', 'Name', 'Date' and the two bars for collection and container utilization. Users can view clinical status or SPR/Accession number on the participant page through configurable fields and headers in the visits table view, refer to https://openspecimen.atlassian.net/wiki/x/D4C9CQ for details.

Specimen Collection Manifest 

Manifests are PDF files that can be downloaded or printed after specimen collection. It gives detailed information about the specimens and processing activities performed on them. 

Click on the specimen manifest option to download the specimen manifest document.

The specimen manifest is configurable. Refer to the wiki page for more details on configuring the specimen manifest.
