Invoice

When you receive a specimen in your biobank, there are many things a specimen goes through, such as further processing, freeze/thaw cycles, temporary storage fees, etc., which are funded by internal or external resources. OpenSpecimen’s invoicing feature allows you to capture all this information.

OpenSpecimen supports invoicing at two levels:

  1. Cost at specimen level

  2. Services at order level

Note: Currently, we do not support invoices for collection and storage. We plan to support this in future.

Defining the rate per specimen during distribution

When distributing specimens, you can define the cost of each specimen in the specimens tab as shown in the screenshot below.

The default distribution report setup at the system level populates the fields in the order report. If the report does not have this field, you can modify the query.

In the specimen query form, you can select ‘Order Cost’ under Specimen->Orders and save this query

Download Order Report

To download the order report, click on the ‘Download Report’ button available on the order page

On downloading the report, the cost field should be available in the report.

Defining the rate per service during distribution (Invoicing)

Note: Currently, it is not possible to configure the invoice report. It does not include the cost per specimen which we will enhance in the future releases.

  • Once specimens have been selected and are ready for distribution, you should be able to select one or more services, units, and costs. 

  • The system should be able to calculate the total cost automatically.

  • You should be able to view the invoice history for submitted distribution orders.

Steps

  • Select the specimens you want to distribute.

  • Click on the “Actions“ button → Distribute.

  • Click on Distribute → Add More Details

  • Under the Invoice tab, click on the “Add Service“ button.

  • Select the service from the dropdown and add the units.

Download Invoice

To download the invoice for distributed specimens, select the order from the ‘Orders list-view’ page → Download Invoice.

The ‘Download Invoice’ button will only be displayed when services are added while creating the order.

The downloaded report has the services added.

The services added for this order will be shown in the ‘Invoice’ tab on the UI.
