Introduction

Participant based

PPID, External Subject ID, eMPI

Specimen Label/Barcode: Pulls specific specimen

Visit name: Pulls all the specimens from that visit

Participant Based Workflow

We can start a workflow by scanning participants’ identifiers such as eMPI (v11.2), PPID or External Subj ID.

Currently, scanning MRN to start a workflow batch is not supported.

  1. Navigate to Workflows → Click on the 'Workflows' button

  2. Choose the workflow that allows participant input → Click on the '+Create' button.

  3. The default starting field is PPID. Alternatively, the user can use the checkboxes to choose either External Subj ID or eMPI.

eMPI:

  • The option is only visible to users with PHI access.

  • If the participant is registered to multiple CPs, OpenSpecimen will display multiple rows per CP. Users can remove unwanted participants before starting the batch.

Visit Based Workflows

Users can scan visit names to start a workflow batch.

  1. Navigate to Workflows → Click on the 'Workflows' button.

  2. Choose the workflow that allows visit input → Click on the '+Create' button → Scan visit name.

Specimen Based Workflows

We can start a workflow by scanning specimens’ identifiers, such as labels and barcodes.

  1. Navigate to Workflow → Click on the 'Workflows' button.

  2. Choose the workflow that allows specimen input → Click on the '+Create' button.

  3. The specimen label is the default starting field. Alternatively, the user can scan the barcode or enter the visit name.

OpenSpecimen will show a pop-up option if two specimens have the same specimen label or barcode.

From Waiting Queue

The specimens in the waiting queue can be used to start a workflow batch.

  1. Navigate to Workflows → Click on 'Waiting Queue'

  2. Use the filter on the right-hand side to filter for specimens belonging to one workflow.

  3. Select the specimens → Click on 'Start'

OpenSpecimen will throw an error message if specimens belonging to the WA of multiple workflows are selected.

From List Views

From v10.3, the user can start a workflow batch from any list view. For example, carts, containers, query results view, visit specimen tree, CP specimens list, etc.

  1. Navigate to any list views → Select specimens → Click on the ‘Actions’ button → New Workflow Batch

  2. Select the workflow of your choice from the dropdown → Start.
