Multiple CPs belonging to a site use the same workflows (JSON), forms, and custom fields. To maintain such CPs, we are introducing a new concept called “Collection Protocol Group” (CPG).
A CPG can contain one or more CPs and have associated JSON, custom forms, and custom fields.

  • When the JSON is edited at the CPG level, all CP’s JSON is updated.

  • Customs forms can be assigned at the CPG level.

  • The most important use of CPGs is querying for custom forms across CPs.

NOTE: A CP can be attached to only one CPG. The reason being each CPG can have its forms & workflows attached. So the system can't determine which to use if CP is associated with multiple CPGs. 

Privileges

Anyone with CP add/edit can also create CPGs.

Create

 Follow the below steps to create a CPG:
  • From the navigation menu, click on ‘Collection Protocols.’

  • Click on ‘Collection Protocol Groups’ from the list pageat the top.

  • Click on ‘Create’ from the ‘Collection Protocol Groups’ list.

  • Enter a title for the collection protocol group in the ‘Name’ field and add the collection protocols to be added to that group- both of these details are mandatory → Create.

Edit

You can edit the name of the collection protocol group and the collection protocols added to it.

 Edit CPG:
  • Click on ‘Collection Protocol Groups’ from the ‘Collection Protocols’ list.

  • Click on the name of the collection protocol to be edited and click on ‘Edit.’

  • Click on ‘Update’ after making the changes to the group.

Add Workflow

You can add the JSON workflow to a group to customize the data entry screens. It will apply to all the protocols in the group. More information on JSON configuration: Customize Screens

 Follow the below steps to add a workflow to a group:
  • Navigate to the ‘Collection Protocol Groups’ and select the desired group.

  • Click on the ‘Workflows’ at the top and select ‘Import.’

  • Choose the JSON workflow to be added and click on ‘Import.’

Add Custom Forms

You can add forms to the participant, visit, and specimen level as forms or as custom fields to all protocols in the group.

  • Navigate to the ‘Collection Protocol Groups’ and click on the desired protocol.

  • Click on the “Forms” tab on the left-hand side.

  • Three levels are visible at the top of the ‘Forms’ tab: Participant, Visit, and Specimen.

  • Click on the relevant tab and ‘Add’ in front of ‘Custom Fields’ or ‘Forms’ depending on whether they need to be attached as custom fields or forms.
    Select the form from the dropdown and click on ‘Add.’

Querying Custom Forms using CPG

  • Consider a CPG with a form or custom field attached to all the CPs within the group.

  • Navigate Queries

  • Select the CPG in the collection protocol field.

  • You can apply filters to the form’s fields by searching the form name.

  • All the form fields can also be seen in the view records section by editing the columns.

  • Click on done, and you can see the query for forms across CPs.

Remove CPs

 To remove a CP from a group, follow the steps mentioned below:
  • Click on ‘Collection Protocol Groups’ from the ‘Collection Protocols’ list.

  • Click on ‘Edit.’

  • Remove the unwanted CPs from the list and click on ‘Update’ after making the changes to the group.

Delete (v7.0)

The collection protocol groups no longer in use can be deleted from the system. It does not affect the individual collection protocols in the group, and they remain as it is. Any saved queries associated with the CPG are deleted.

 Steps to delete a collection protocol group
  • Go to Collection Protocols > Collection Protocol Groups.

  • From the list page, click on the CPG that is to be deleted.

  • Click on ‘Delete’ from the top.
