How to edit closed specimens?

From v10.1

In some biobanks, specimens are first distributed or disposed, and the testing details from the specimen receiver or requester are received at a later stage. OpenSpecimen allows users to update certain details of closed or disposed specimens.

Allowed Actions on Closed Specimens

The following actions are allowed on closed/disposed specimens:

  • Edit specimen attributes

  • Add or edit specimen custom forms

  • Add or edit specimen events

  • Print specimen labels

Actions Not Allowed on Disposed Specimens

The following actions are not allowed on disposed specimens:

  • Storing specimens

  • Distribution

  • Shipment

  • Creating derivatives or aliquots

  • Creating pooled specimens

Editing Closed / Disposed Specimens via UI

  1. Navigate to the specimen overview page of the closed specimen → Click on Edit

Editing Closed / Disposed Specimens via Bulk Import

If details need to be updated for multiple closed specimens, this can be done using bulk import.

  1. Navigate to the participant list page → More → Export

  1. Select records 'Specimens' → Paste the labels of the specimens that need to be updated

  1. Export file → Update the details in the file → Import → Run as update.

Before v10.1

Closed specimens cannot be edited. To edit such a sample, you need to reopen the specimen, edit it, and close it.

Via UI

This option is useful when you have to edit a small number of specimens since you can edit one sample at a time. Currently, there is no way to reopen multiple specimens in one step.

  1. Go to the ‘Overview’ page of the specimen → Click on More → Reopen

     

  2. Edit the required details → Save it.

  3. To close the specimen again, click “More -> Close.”

     

  4. You can close the samples via UI in bulk as well, using the “Actions” menu. Refer https://openspecimen.atlassian.net/wiki/x/ioBzEg for details.

Via bulk import

This is the best-suited option to reopen/edit multiple specimens at a time.

Step 1: Reopen and edit

  1. Download the “Specimen update” CSV template. You can refer to the instructions here.

  2. Enter the CP Short Title and Specimen Label.

  3. Enter the “Activity Status” as “Active” for all the rows.

  4. Enter data in other columns that you want to edit. E.g., available quantity.

  5. Save this file and import the CSV in the “Update” mode.

Step 2: Close

  1. To close the specimens again, use the same CSV.

  2. Replace “Active” with “Closed” in the “Activity Status” column.

  3. Save the CSV and import it in the “Update” mode.
