Why are visits created when master template has no visit details?

In OpenSpecimen, creating a visit requires two fields:

  1. Visit Name

  2. Visit Date

If auto-generation of visit names is enabled for a Collection Protocol and you leave the visit columns blank or omit them in the master specimen template:

  • OpenSpecimen will automatically create an unplanned visit, generating Visit Names based on the auto‑generation setting.

  • When the Visit Date is absent, the system will use the Collection Date from the specimen data or the current date if that is also missing.

Please ensure to use ‘Participant CSV’ template, incase if you only want to create participant entries.

How to bulk delete these visits?

  1. Find Visits – Create a query for unplanned visits.
    Include columns: CP Short Title, Visit Name, Visit Date, Activity Status.

  2. Edit CSV – Export results, change Activity Status from Active to Disabled, save the CSV file.

  3. Bulk Update – Go to Bulk Import, set Record Type to Visit and Operation to Update, then upload the edited CSV file to bulk delete them.
