Assigning User Roles

Once you create a regular user, you must assign roles like technicians, tissue bankers, etc. The roles tab will not appear if the user is a super administrator, institute administrator, or contact. Refer to the Roles and Privileges page for managing roles.

  1. Click the 'Roles' tab to assign the roles to the user.

  2. Click on the Add Role button to add the roles to the user.

  1. You can limit user access to specific sites and collection protocols while assigning them appropriate roles.

Frequently Asked Questions

Site not visible while assigning roles

While assigning roles to a user, you may notice that the expected Site (for example, Victoria Cancer Biobank) does not appear in the Site dropdown.

Why this happens

The list of sites shown during role assignment depends on the Institute assigned to the user profile.
If the user was created with a different institute, sites belonging to another institute will not be listed.

How to fix it

  1. Open the User record.

  2. Click Edit.

  3. Update the Institute field to the correct institute associated with the site.

  4. Save the user.

  5. Go back to Roles and try assigning the role again.

The correct site should now appear in the Site dropdown.

Collection Protocol not visible while assigning roles

While assigning a role to a user, you may notice that the expected Collection Protocol (for example, Skin Cancer Study) does not appear in the Collection Protocol dropdown, even though the protocol exists.

Why this happens

A collection protocol appears in the role assignment dropdown only if it is linked to the selected Site. If the protocol is not associated with the Site chosen during role assignment, it will not be listed.

How to fix it

  1. Edit the Collection Protocols (for example, Skin Cancer Study).

  2. Under the Sites section, check whether the required site (for example, Victoria Cancer Biobank) is listed.

  3. Add the required site. --> Save the collection protocol.

  4. Go back to Users → Roles.

  5. You will now see the protocol listed in the dropdown.
