How to edit system generated PPID, visit name or labels?

By temporarily disabling the auto-generation of field PPIDs, Visit Names, and Specimen Labels can be updated via both the UI and bulk import methods. OpenSpecimen does not allow you to edit these fields if auto-generation is enabled. After completing updates, re-enable the auto-generation settings.

 

Update via UI

For correcting an incorrect entry, you may need to update one of these fields via UI. Follow the steps below to complete the task.

  1. Navigate to 'Collection Protocols'.

  2. From the overview page, go to 'Label Format and Print' settings.

3. Click on 'Edit' → Remove the format. E.g., if you want to edit the visit name of one of the visits, blank out the visit name format. Make sure you save the format somewhere, as they have to be updated back.

4. Now, go to the participants-list-view page, and select the patient for whom you want to edit the visit name.

5. Go to the visit overview page → Click on 'Edit'.

6. Change the visit name and click on 'Update'.

7. Now, go to 'Label Format and Print' settings, → Put back the visit name format and save.

  • You can also achieve this for PPID and specimen labels.

  • For specimens, you also need to check if there are any label formats set at the specimen requirement level:

  • For aliquots, you need to verify if the aliquot format is set at the system 'Settings' level:

 

Update via Bulk Imports.

Useful when multiple records are to be updated at once.

Please follow these steps:

  1. Export the specimens you wish to update:

  2. Click on More → Export → select ‘Specimens’ → enter the specimens you wish to export → Export.

  3. In the CSV, update the specimen labels, and save the CSV.

  4. The ‘Identifier’ column should not be changed, as this will be used while updating the specimen.

  5. Remove the label format from the CP. Keep a note of this format.

  6. Import the CSV: Click on More → BioSpecimen Data → select ‘Specimens’→ Import your CSV as ‘Update’.

  7. Once the file is imported, add the specimen label format back to the CP label settings

If auto-generation is set up for participant PPIDs, visit names, or specimen labels, and there is a need to change the sequence of these labels, administrators must reset the label formats. Refer to the following for additional details.
