Introduction

Freezer facilities frequently receive lists of boxes (containers) for storage and must then locate the appropriate space across their freezer units. This function facilitates this process based on user-defined criteria.

E.g. The freezer facility receives a request for 40 boxes (container type: 2-inch box). Freezer facility user needs to find space to store these boxes in racks reserved for collection protocol ‘LCPRP’.

Pre-requisite: Selected container type to find places can be held by existing container types defined at ‘N-1’ level (where N = number of levels in hierarchy).

This feature gives the best possible suggestion if

  1. All the containers in the system at ‘N-1’ level have defined container types

  2. All the containers in the system at ‘N-1’ level have defined collection protocols/ specimen type restrictions

Name

Description

Type

Specify type of container which you need to store, E.g., 2 inch boxes, 9x9 boxes, etc.

Freezer

If you need to store boxes within a specific freezer

Collection Protocol

Specify CP restrictions on parent container

Required Places

Specify the number of containers for which you are seeking storage space, e.g., 20 boxes

All in same container

Check if user wants to store all boxes in same parent container

Strict Match

Check if user strictly wants to find places based on CP and container type restrictions only.

Strict match conditions

  1. If selected, will ignore the parent containers where CP restrictions are not defined

  2. If selected, will ignore the parent containers where available slots < Required places (if ‘All in the same container’ checkbox is selected)

  3. If selected, will not ignore the parent containers where available slots < Required places (if ‘All in the same container’ checkbox is unchecked)

  4. If not selected, this does not bypass the prerequisite condition/ defined freezer

Steps for finding spaces

  1. From container list view → Container Actions → Find Spaces

  2. Define criteria

    Find places to store 40 containers of type ‘2-inch box’ in the same rack within freezer Demo_RP_F1

  3. Select a container for storage

    In the current selection, ‘All in same container’ and ‘strict match’ is selected, thus,
    a. It has ignored all the parent containers where available slots are < 40
    b. If ‘All in same container’ checkbox is unchecked, it will also show all parent containers with available slots are < 40

  4. Transfer

    1. Boxes are existing in OpenSpecimen
      Enter box names/ barcodes in the provided box → Add

      Enter reasons (mandatory) and submit

    2. New boxes
      Enter box names/ barcodes in the provided box → Add → System will generate a prompt confirming creation of new boxes → Yes

      Specify collection protocol/ specimen type restrictions → Submit

      Boxes will be automatically created in the first available slot with the specified type, CP, Specimen type

    3. A mix of a & b
      Follow the steps, similar to #b, the system will populate a screen with a mix of existing and new boxes
